Hosting the Paths to Empowerment Seminar from Lightworker.

This page contains the details of hosting the Paths to Empowerment Seminars from Lightworker.

Currently, all of our events have local hosts that help us to ground the energy in each city. Once your city has been accepted and a date has been set, the information below will guide you in putting together a successful Lightworker gathering.

Below are some things that may be helpful to answer questions.

Minimum Number of Attendees: 35
OverLight Trainings minimum is 30

The focus of this work is empowerment, however it is also important that each event be self-sustaining. If we are not supported by a minimum of 40 paid attendees at a seminar we may have to cancel. We actually look for 60 to 100 attendees at these events. We are entirely supported from these events at this point and they must make financial common sense. The admission to this event has already been set. If there is any confusion about this please contact us at once. Please see our policy on scholarships below.

Scholarships

Seminar Scholarships

All requests for scholarships are to be forwarded to Lightworker. Lightworker is a nonprofit corporation and is interested in making this information available to as many people as we can. We will take this responsibility from you if you will send requests for scholarship to Barbara here or call Lightworker offices.

Session Scholarships

Although we do offer occasional scholarships for private sessions over the telephone, it is our policy NOT to offer scholarships on sessions when traveling.

Securing a Location

Most of our seminars are in Hotels although we have had very good experiences at retreat and healing centers Clubs and lodges such as Lions Club etc.  We are a non -profit organization and will soon be classified as a church.  It is best to mention that when talking to hotels etc. Its usually best to look at where other similar events are being held and follow through with them. Keep in mind that people will travel to this event and close to the airport or easy access is best if the price is not prohibitive.

Dealing with Catering Managers at Hotels :

Catering Managers in most hotels have a huge turnover and dealing with the same person is very difficult so it is best to keep copies of e-mails and correspondence as you may find yourself starting over with a new person one morning.  Always mention that we are a non-profit church organization.

Here is what we need with a Hotel:

We will not guarentee room sales or food sales, we just want to rent the room for the days we need it.  Ususally when you find the hotel we start the negoations from our end but it is best to mention this at the start.

We would love for them to offer our people a prefered room rate but will not be financially responsible for those rooms.  This is contrary to many hotel rental agreements but most will bend their rules to get our business as we usually come back every year once we find a good hotel.

We want to have the room available in the evenings as well as the days except for the last day and need to leave our equipment set up in the room at night.

We do not need the room chairs reset every night for multiple day seminars.

Size and Setting:

The room should be set with chairs theater style.   We are looking for rooms that will seat between 60 and 100 people in this fashion. (This will accomodate about 40 people in an interactive seminar,)  1200 sq ft in minimum.

Price:

Prices of meeting rooms vary greatly between cities.. Usually they run $250-450 per day. Again it also depends on the numbers. Once you have found a place that you like  we will work out the details with the hotel catering manager.  Then Lightworker will sign all contracts and place all deposits.

Deposit:

If a deposit is needed to secure a meeting room Lightowrker will pay it. We will send the hotel the deposit directly with the signed contracts in most cases unless it is in a foreign country where this is not practical..

Negotiating:

Negotiating with a hotel is not difficult but they will rarely give you their best deal unless you ask for it. Again we will help you with that because we know what to ask for. Sometimes, they will give us the meeting space free if a number of guests stay at the hotel. Sometimes they will give Barbara and I a free or upgraded room just for renting the meeting space. Again, asking is the only thing to re-member. The point you wish to remember with hotels is that we will be not only looking for this event but we quite often return to a city every year for additional seminars. This may be helpful to mention when you are talking with them.

Contracts:

It is imperative that Lightworker review and sign all contracts for rentals of meeting space rooms unless other arrangements have been made. It is also often possible to ask for a special room rate for all of our participants. Sometimes the hotel will give them a special rate if they call in and ask for the "Group" rate. Do not confuse this with blocking rooms that we are responsible for. We are not interested in getting involved with offering hotel accommodations as part of the seminar and we will not be responsible for paying for unused rooms. However the hotel itself is usually interested if giving us good Group rates to help attract participation.

Registration Procedures

We ask you the Host to take care of all registration for this event the day of the event. You may bring another staff member free of charge to help you with that.  If you aare in contact with the Lightworker offices our staff will provide yoju with everything you will need.

As the local host it is also very important that people can reach you. Returning calls later in the day is fine but we have found that people in this vibration will call once or twice and if they do not receive a return call right away, they will take it as a sign that the Universe does not want them to attend this event. Therefore it is important that they be able to reach someone. If you are unable to do so please call our offices and let us return the calls.

Non-refundable deposits

We have instituted nonrefundable deposits for our OverLight trainings. We ask that people make commitments on their part much the way we must make commitments on ours. We make our final decisions based on attendance commitments. We do return deposits for people that canceled with emergencies. If for some reason we need to cancel an event we do refund all deposits.

Name Tags

We will provide name tags and accessories for the event unless you preferr to do so.  Please let us know if that is the case.

Food at the event.

For our lunch and dinner breaks there are many possibilities. If available, people can simply find a restaurant. We provide 90 minutes for lunch and dinner breaks. This usually works fine except when the first break comes, everyone wants to go to the same restaurant and eat at the same table. This usually runs us overtime and creates problems so we ask that people all go their separate way the first day for lunch if we use the restaurant option.

If you wish to organize a big dinner on the first evening of a two day event, that will work only if we have a count and have arranged it with the restaurant before hand. One of the easiest places we have found is the Soup and Salad places like "Soup Exchange" or "Healthy Choices" or similar serve yourself buffet's.

We do not wish to be involved with offering food in any way as part of this event. If you, as the host, wish to put together something we will tell of some of the successes and failures we have experienced. Catering is very difficult and expensive and also requires a specific number be given to the caterer, for which you pay no matter how many people eat. This can be risky financially and we do not encourage it unless you have experience in this area or if the hotel offers us "a deal that we can't refuse."

What we need from you as a Host


Getting the word out is one of the most important parts of the Hosts work. The very best is if there are people in your area or yourself that can spread the word of this gathering to their own clientele or e-mail groups.

Advertising

Book Store Book Signings   THIS IS THE BEST ADVERTISING!

Unlike most booksignings we have an unusual formula that brings many people to our booksignings. Our most successful book signings take place in stores that can hold 40 to 100 people. Borders or Chapters in Canada works well for this.  Metaphysical bookstores will be great but often do not have the space required. We will generally fill that easily even if the store has never carried our books before. What we like to do is to give a talk in the evening for 60 minutes. Then we stay for another 90 minutes and give free 2 minute readings to the first 20 people who come. This is very successful and we can often generate the traffic from our web site if we have enough notice.  In the Promo section under Bookstores you will find fliers and signs to give to the bookstore so that they can hand them out several weeks prior to the event.  If you will add the details of the conference on the other side it will work very well. The store will usually put them in the bags for every purchase or at least put them on the couinter.  If they refuse to do either. . . we will want to consider going elsewhere.  Keep in mind that we are doing the store a favor by bringing in 40 or more people generally for 3 hours or more.  We have never had less than 35.  See the Promo section for more information about booksignings.

Fliers

Our success with fliers has been very limited and usually we do not encourage them unless you have speccific applications that require them.

Magazines and Newspapers

We have attempted ads in all different types of periodicals and have had little or no response. If there is a magazine who runs the Beacons of Light messages from the Group or wishes to interview us we will run an ad with them simply as a thank you and an energy exchange but under normal conditions large display ads do not work.

Calendar sections and some classified ads in metaphysical magazines work well.

If the workshop is being sponsored or promoted by a magazine we will run ads as well, as an energy exchange.

It does work to send your local newspapers, magazines and radio stations may be interested.  We will send them books and promo material to them directly or you can request promo copies for yourself.

Radio and TV.

If we can advertise on our web site that we will be offering free 2 minute readings on a radio or TV show we will always have a good amount of call ins. Particularly if a radio show is a call in and has internet broadcast capabilities, we can almost guarantee that we will be swamped with calls from all over the globe. Radio interviews are most often handled over the telephone and we would love to do it two weeks prior to the event to stir interest. TV must be done on location and may not be particularly helpful in adding attendance to the event but will help greatly when we return. We have had several come and actually tape portions of the seminar. There are hundreds of Cable access TV stations that are metaphysical in nature. Many of them have been around for several years and send tapes to TV stations around the country.

We have biographies written and press releases that will help you to show media people who we are and what we do. You will find these documents on the Menu Bar to the left. You may be surprised at how many mainstream TV and Radio people may be interested. The story of a General Contractor who was tapped on the shoulder by spirit and now speaks at the United Nations is an interesting one. Things we need your help with at the event:

Registration will be fast and furious and you will be meeting many people. We do need at least one other person to assist in registration.

Private Sessions

During this time Steve is offering private sessions to people usually the day or two days following the event. If this is happening we will ask you, the host, to schedule these sessions. Below is a form that will help to tell you what information we will need. We do have a policy that we do not offer reduced rate sessions in person. Below is a schedule we will ask you to fill if requested. Do not worry about taking payment for these as we will do that, however you can tell people that credit cards are accepted and all sessions are Tax Deductible. We really love these events and you will see people change their lives at these gatherings. It is a wonderful way to bring people together and we are really looking forward to this event with you. Together we are making a difference!
